Summary:To provide support and assistance to the Managing Director of North America, and the New York Practice Directors ensuring that their diaries are managed well and tasks are completed in an efficient manner and to assist in the day to day running of the Mourant International Fund Administration ("MIFA") New York office. Essential Duties and Responsibilities:Personal Assistant- Organize and coordinate all incoming and outgoing communications for the Managing Director of North America. - Coordinating and controlling the calendar of the Managing Director of North America, and the New York Practice Directors when necessary.- Preparation of reports and board documentation for the Managing Director of North America and New York Practice Directors.- Assisting in the building of relationships with key individuals across Mourant's various office locations spanning the globe.- Booking travel and accommodation for the Managing Director of North America and New York Practice Directors.- Managing the expenses of the Managing Director of North America and New York Practice Directors.Office Manager- Circulating Agenda's and circulating minutes of the various meetings.- Track and report to Managing Director of North America and New York Practice Directors on the employee performance evaluation process for the New York office.- Manage disbursements on the office check register. - Serve as the onsite liaison for various central support functions which are located primarily in the UK such as Information Technology, Human Resources, Finance, Facilities and Training.o Liaise with HR - assist with local induction, new employee setup forms, employees termination, recruiting, job vacancy creation forms, job offer forms, confidentiality agreements, and job descriptions.o Facilitate office requirements in conjunction with Office Services such as arranging seating and computers in the office.- Coordination of People Care Budget, Sports & Social Club, Summer Outing and Holiday PartyIn addition to the duties listed above, the Personal Assistant/Office Manager may be requested to perform any other ad hoc duties or projects as requested by the Managing Director of North America. Technical Knowledge/Skills Required:- Knowledge of customer service/professional services environment- Ability to learn new software applications- Highly proficient in MS Word, PowerPoint and other MS Office applications- Excellent organizational skills - Superb time management skills- Strong communication skills both written and verbal- Team player Minimum Education/Qualifications:Associates DegreePrevious Experience:Two year of experience as a PA required, references will be requested.
