Title: Technology Purchasing AgentStatus: Full Time Exempt Department: Information Technology Report to: Manager of User Support ServicesJob Summary: Under direct supervision, responsible for technology purchasing activities.Duties and ResponsibilitiesPurchasingoWork with internal IT customers and external vendors to conduct research, request pricing, prepare and review bids / pricing, prepare Purchase Orders, track orders, mark orders as received and respond to billing inquires.oContinuously refine and improve the purchasing processes identifying enhancements and additional tools.oDevelop processes for requests.oDesign, develop, and implement strategies and procedures that will result in cost savings, improved service levels and effective inventory management.oDraft Bids, RFP's and RFQ'soConduct various analysis including supplier proposals and spend analysis.oProcess invoices for approval and payment.oAssist in the development and maintenance of the purchasing systemoNegotiate prices, delivery, quality, issue resolution, lead-time, escalation and term/conditions.oDetermine best method of procurement such as direct, purchase or bid.oIdentify and obtain cost improvements for purchased materials and services from suppliers via negotiation and continuous management.oResponsible for assisting internal clients in research, quoting and procurement of software and hardware.oAssist internal customers to resolve problems with contracted suppliers and ensure that long term solutions are implemented.oManage Strategic Supplier relationships as well as maintain internal customer relationships.oCollect, analyze, and create supplier metrics and conduct annual supplier reviews.oReview and respond to requisitions.oConfer with vendors to obtain product or service information such as price, availability, and delivery schedule.oSelect products for purchase by researching or reviewing items.oMaintains procurement records such as items or services purchased, costs, delivery, product quality, performance, and inventory.oPerform analysis and summarize survey results highlighting critical feedback or trends.oDevelop metrics to measure data.Asset ManagementoEnters and updates appropriate Inventory tracking information.oResponsible for maintaining asset management inventory systems for IT hardware from requisition through retirement.oManage inventory controls including overseeing IT leasesoResponsible for annual hardware physical inventory audits.oDevelop strategies and external relationships to implement plans for donating, recycling or otherwise selling obsolete equipment including, tracking equipment available for donation, scheduling collection of equipment and ensuring charitable donations are documented.

Requirements:

Credentials and ExperienceQualified candidates will have 3-5 years experience in IT purchasing.Experience and exposure to purchasing for a technology environment is required.Strong leadership and negotiation skills will be required.Requires strong interpersonal and organizational skills, including the ability to meet deadlines, follow written policies and procedures, and maintain superior customer service at all times.Must demonstrate the ability to negotiating terms with vendors, including service, price, product quality, markdown allowances, lead times, and returns.
