Title: Administrative Assistant for COOLocation: New York, NYType: Full Time Compensation: Base $40-45K base, with bonus + benefitsPosition:This position will directly report to the Chief Operations Officer and support the Chief Legal Officer. In addition to the general administrative duties inherent in a support position, this position will additionally be responsible for special projects management. Work independently without the assistance of others (after appropriate direction) 95% of the timeCommunicate conflicting priorities to executives, attorneys, managers and proceed per instructionsPerform work efficiently while minimizing distractionsComputer and related skills to deliver quality written workBe highly proficient (i.e. be able to use the specified software/databases to perform requested assignments) with LIVELINK (store, retrieve, find and search), Word (including Track Changes), Delta View (one version or document against another), basic Excel, PowerPoint, Adobe Acrobat, Outlook (including scheduling and inputting and updating information) and Visio.Type at 70 wpm.Return proofread, word processed, documents within requested timeframe with no errors.Read simple documents for content and suggest appropriate changes regarding readability/grammar where appropriate.Edit and update necessary documents as requestedDemonstrate basic familiarity with the nature of the transaction (i.e. read term sheet and ask questions of attorney), as well as the basic nature the component parts (i.e. major agreements, schedules, exhibits, ancillary documents, other deliverables).Demonstrate familiarity with Livelink (Content Management System). Navigate systems and databases to retrieve documents not located in Livelink.Drafting, document preparation and managementDraft transmittal/cover letters.Format various documents and ensure consistency.Document comparisons.Set up files and prepare labels.General filing both electronic and paper.Scan documents.Assist with due diligence file organization.Maintain Investment Committee presentationsPerform and Manage projects as assigned by COO and CLO.Acts as project manager for special projects, which may include: planning and coordinating multiple presentations, various fundraising projects, PR, coordinating direct mailings, creating brochures.Act as a liaison with other departments and outside agencies, including high-level staff such as CEO'S, Presidents, Senior Vice Presidents and Chiefs. Handles confidential and non-routine information.
