Description
The Project Administrator team member provides a centralized project tracking, coordination, communication, oversight, and reporting along with rigorous metrics and planning for projects under their management.
The PA will be responsible for coordinating and tracking various initiatives, and developing or enhancing procedures and communications for a global organization as they relate to their areas of responsibility.
Program and Project Planning
- Work with Program Manager to integrate sub-project, project plans to overall Global MAPS master plan.
- Work with Program Manager and, as needed, Global and Local IT and business teams to define consistent planning parameters to allow development of appropriate integrated project plans.
- Align to SDLC Methodology for initiatives and policies/practices.
- Construct workflow diagrams, templates, presentations, meeting agendas, and documentation.
- Support and enhance existing processes and if required, assist in education sessions for system's personnel Tracking and Reporting
- Update schedules with the completion and effort information, and communicate task delays to Program manager and appropriate parties.
- Create project level policies and procedures, such as project tracking and reporting; progress measurement and benefits tracking (Key Performance Indicators - KPI's and Critical Success Factors - CSF).
- Create weekly earn/burn and schedule variance metric information.
- Provide regular reporting on project status, key milestones, resourcing, critical path, risks, issues, open items and management attention items.
- Facilitate project audits and project compliance tasks.
- Assist in the management of the centralized Change Management process.
Communication & Coordination
- Facilitate weekly meetings to review project metrics and address risks, issues and management attention items.
- Draft email communications.
- Setup and facilitate meetings with appropriate participants.
- Coordinate communication of changes to procedures and policies of assigned projects.
- Provide centralized communication conduit to distribute project learning's and best practices
Requirements
- Minimum of 2-3 years in Project Management.
- Strong knowledge of Microsoft Office tools especially: Excel, PowerPoint, Visio, Project, and Access.
- Experience in planning IT projects.
- Team Player and Consensus Builder.
- Great communication skills - both verbal and written.
- Self-motivated - Comfortable with changing requirements.
- Ability to adapt to environment.
- Understanding of project methodologies, life cycles and deliverables.
- Good process and training development and documentation.
- Scorecard generation and metrics building.
- Great presentation development skills
- B.S./B.B.A. in Accounting, Finance or Computer Science (or equivalent).
- familiarity with HTML, Java or other internet development tool would be a plus.
- PMP Certification preferred
- Experienced with SDLC Project management Methodology.
- Experience with executive level presentations.
- Systems security-related experience.
- Travel 20-25%
